Academy Policies

The Academy's public policy library. These policies sit alongside the Code of Ethics and form the operational framework of the Beyond Motivation Certified Coach™ Program.

Complaints Policy

How students, clients, or members of the public can raise a complaint about a Beyond Motivation Certified Coach™ or about the Academy itself.

1. Scope

This policy applies to complaints about coaches certified by the Academy, faculty, staff, or services provided by the Beyond Motivation Academy™.

2. How to file a complaint

Complaints may be filed via the Ethics Violation Report form at /ethics/report or by emailing the Academy.

All complaints are acknowledged within 5 business days.

3. Investigation

An Ethics Review Panel of at least 2 senior faculty reviews each complaint.

The coach or party complained about is given the right to respond in writing within 14 days.

Investigation is concluded within 60 days of acknowledgement where reasonably possible.

4. Outcomes

Outcomes may include: dismissal of the complaint, formal warning, mandatory remediation, suspension, or revocation of certification.

5. Confidentiality

All complaints and investigations are handled confidentially, subject only to legal obligations.

Appeals Policy

How a student or certified coach may appeal an assessment outcome, certification decision, or disciplinary action.

1. Right of appeal

Every student or certified coach has the right to appeal an assessment result, refusal to certify, or disciplinary outcome.

2. How to appeal

Submit a written appeal within 21 days of the decision, citing the specific decision being appealed and the grounds.

3. Grounds

Procedural error.

New evidence not available at the time of the original decision.

Bias or conflict of interest.

4. Process

Appeals are heard by faculty who were not involved in the original decision.

Outcome is communicated in writing within 30 days.

The appeal decision is final.

Refund Policy

Refund eligibility and timeframes for paid programs, including the Beyond Motivation Certified Coach™ Program.

1. 14-day satisfaction window

Students who have not completed more than 20% of Level 1 lessons may request a full refund within 14 days of enrolment.

2. After the satisfaction window

No refunds are issued once 20% of Level 1 has been completed or after 14 days, whichever comes first.

3. Exceptional circumstances

Refunds outside the standard window may be considered for documented medical or compassionate reasons at the Academy's discretion.

4. How to request

Email the Academy with your order reference and reason for the refund request.

Privacy Policy

How the Academy collects, uses, and protects personal information of students and visitors.

1. What we collect

Account information (name, email).

Coaching and learning records (progress, assessments, reflections, hours logged).

Payment metadata (handled by our PCI-compliant payment processor — we do not store card numbers).

2. How we use it

To deliver the courses, certifications, and services you enrol in.

To meet accreditation, audit, and legal obligations.

To communicate with you about your enrolment.

3. Your rights

You may request access to, correction of, or deletion of your personal data at any time, subject to our legal record-keeping obligations.

4. Cookies and analytics

We use essential cookies to keep you signed in. We do not sell personal data.

Data Protection Policy

How the Academy meets its obligations under applicable data protection laws including GDPR / UK GDPR.

1. Lawful basis

We process personal data on the basis of contract (delivering the course you bought), legitimate interest (operating and securing the platform), and legal obligation (accreditation records).

2. Data minimisation

We collect only the data needed to deliver and audit our programs.

3. Storage and security

Data is stored on infrastructure with encryption at rest and in transit.

Access is restricted by role-based permissions and audit logs.

4. Retention

Certification records are retained for 7 years to support accreditation audits.

Account-level data is retained for the lifetime of the account and may be deleted on request, subject to legal retention requirements.

5. Sub-processors

We use vetted sub-processors for hosting, email, payments, and analytics. A current list is available on request.

Certification Policy

The requirements a student must meet to be awarded a Beyond Motivation Certified Coach™ credential.

1. Requirements per level

All required lessons completed for the level.

Knowledge exam passed at ≥ 80%.

Practical / case study assessment passed for Levels 2+.

Practicum hour requirements met (20 / 50 / 100 / 250 by level).

Mentor coaching hours met (cumulative ≥ 10 by Level 3).

Observation requirements met (recorded, live, peer).

Code of Ethics agreement signed and current.

Reflection journal entries submitted for Level 2+.

2. Verification

Every certificate carries a unique verification code and QR code that resolves to a public verification page.

3. Revocation

Certification may be suspended or revoked following an upheld ethics complaint or material breach of the Code of Ethics.

Recertification Policy

Continuing professional development requirements to maintain a Beyond Motivation Certified Coach™ credential in good standing.

1. Cycle

Certified coaches recertify every 24 months from the date of their highest-level certificate.

2. CPD requirements

Minimum 40 hours of continuing professional development per cycle, of which at least 10 hours must be in coach-specific learning.

Re-sign the current version of the Code of Ethics.

Submit at least 1 new reflection or case study.

3. Lapse

Certificates that lapse for more than 12 months past the recertification deadline are marked Inactive on the public directory and require remediation to reinstate.
